To implement AI in a small business, start with the two or three tasks that eat the most time, set up one tool like Claude properly, build a repeatable workflow for each task, keep a human checking anything that touches clients or money, then expand once those are running. The mistake most owners make is trying to learn everything at once instead of getting one thing working.
Step 1: Pick the tasks worth automating first
Look for work that is repetitive, takes real time, and does not need much judgement. Drafting emails, summarising documents, turning notes into actions, first drafts of content. Leave anything high-stakes or relationship-critical for later.
Step 2: Choose one tool and set it up properly
You do not need five tools. Pick one capable assistant and set it up for your business. We use Claude. The setup matters: a tool left as a blank chat box gets abandoned. One that knows your business and your voice gets used.
Step 3: Build a workflow, not a one-off prompt
A workflow is a repeatable way of doing a task the same way every time. Instead of rewriting a prompt each morning, you have a saved way to turn your numbers into a summary, or draft replies in your voice. This is the step that turns AI from a novelty into a real time saving.
Step 4: Keep a human in the loop
AI is very good at the first draft and the repetitive job. It still gets things wrong. Anything that goes to a client, touches money, or carries legal or tax weight gets a human check before it goes out. This is not a lack of trust in the tool, it is good practice.
Step 5: Expand once the first workflows stick
Once two or three workflows are running and saving you time, add the next one. Businesses that try to do everything at once usually do nothing. Businesses that get one thing working build from there.
